Employee scheduling for retail stores and gyms
Stores and gyms run on part-time staff, long opening hours and people who work at more than one location. Smalti puts every location on one schedule, keeps availability and time off in view while you build the week, and lets staff pick up open shifts and trade inside the rules you set.
iPhone and Android apps · Browser console for managers · Hosted for you or on your own server
One schedule across every store or club
Add each location with its time zone, then the positions worked there — cashier, stock, front desk, trainer, whatever your schedule calls them. Shift times are always shown in the local time of the place where the shift happens, with the zone labelled, so “the 9 AM shift at Harbor St” means the same thing to everyone.
Staff can belong to more than one location, and Smalti still won’t let anyone hold two overlapping shifts across them — even in different time zones or across a daylight-saving change. How Smalti prevents double-booked shifts.
Availability and time off that fit part-time staff
Each person keeps their usual weekly hours up to date, marks a day they can or can’t work, and asks for time off from the app. Requests go to their manager to approve, and managers see everyone’s availability and leave on one calendar.
When you assign someone outside their availability, you’re warned first. The warning doesn’t block the assignment — the manager decides. Assigning a shift that would take someone past 40 hours also warns you first — and on the marketplace you can choose to refuse a pickup or trade that would.
Fill the weekend and the early opens
The week grid shows coverage at a glance — green full, amber partly filled, red unfilled. Set up repeating shifts once, copy last week forward, keep next week as a draft and publish it in one step.
Shifts nobody is assigned to can be picked up straight from the app by anyone eligible, and staff who can’t work a shift can post it as a give-away or a swap on the open shift marketplace. You choose whether trades settle instantly or wait for a manager, per organization, location or position.
A clock at the front desk, and the doors opened properly
- A shared tablet clock. Tap your name, enter a PIN. It keeps working when the wifi drops, and shows a code phones scan to prove they were there.
- Breaks as they happened. Nothing is rounded and nothing is deducted automatically. Each pay period’s timesheets are approved, closed and exported with overtime worked out and your payroll IDs.
- Opening and closing checklists. Due at the times you set, filled in on a phone or at the tablet. A list that isn’t finished on time reaches the manager.
- Announcements to a whole location. See who has read them, and leave notes in the shift log for whoever comes in next. Anyone the app can’t reach gets it by email.
- Messaging by position. Every position at a location gets its own group — no phone numbers shared, no second app.
What Smalti is, and isn’t, for
Smalti is designed for organizations of roughly 10 to 100 employees, scheduled in weekly or monthly cycles across one or more locations. Staff use the iPhone and Android apps or a web browser; managers work in a browser console.
Smalti schedules your staff, not your customers: it doesn’t book member classes, manage memberships or run a till. It also doesn’t run payroll — it exports each pay period’s timesheets, overtime worked out, for the system that does.
Retail and gym scheduling questions
Can part-time staff work at more than one store or club?
Yes. People can belong to more than one location, and each shift is shown in the local time of the place where it happens. Smalti still refuses any assignment that overlaps a shift the person already holds at another location.
Does Smalti book classes or manage gym members?
No. Smalti is for scheduling and managing your staff — shifts, trades, time clock, checklists and team messages. Member bookings and memberships stay in the system you use for them.
Can I send a message to everyone at one store?
Yes. You can send an announcement to a whole location and see who has read it. Each position at a location also has its own message group, and anyone the app can’t reach gets their notices by email.
What size of business is Smalti built for?
Smalti is designed for organizations of roughly 10 to 100 employees, scheduled in weekly or monthly cycles across one or more locations.
