Shift scheduling for clinics, home care and care agencies
Smalti schedules people by the positions they’re cleared for and the locations they work at, so a shift only goes to someone qualified and free — and nobody ends up holding two overlapping shifts, even across time zones or a daylight-saving change.

Only the right people on each shift
In care settings a shift isn’t just a time slot — it needs someone cleared for that kind of work, at that site. In Smalti each person carries the positions they’re cleared for and the locations they work at. When you assign a shift, the list says who is qualified and free, and gives the reason for anyone who isn’t.
The same rules apply when staff trade or pick up shifts themselves. Someone who isn’t cleared for the position, doesn’t work at that location or is already working at that time can’t take it, whether a manager is involved or not.
Smalti uses the positions you mark each person as cleared for. It doesn’t check licences or certifications itself — keeping those records up to date stays with you.
See the gaps before the week starts
The week grid shows coverage at a glance — green full, amber partly filled, red unfilled — and open shifts can be offered to everyone eligible to pick them up from the app. Work on next week as a draft, then publish it in one step and staff are notified.
The manager console opens on today: who is on shift, who is late, which shifts are still unfilled, and every request waiting on a decision — trades, time off and time corrections in one list. Fifteen minutes into a shift with no clock-in — or after however long you choose — the manager on duty hears about it.
Overnights, time zones and daylight saving, handled
Each location has its own time zone, and a shift’s times are always shown in the time of the place where it happens, with the zone labelled. An overnight shift across the autumn change really is an hour longer, and both the schedule and the timesheet say so.
People can belong to more than one location — common for agencies covering several sites — and still can’t be double-booked across them, even in different time zones. Read how Smalti refuses double-bookings.
Hours your staff can trust, and a record you can check
- Breaks as they happened. Staff record their own meal breaks, and paid rest breaks too if you track them. Time is never rounded, and breaks are never deducted automatically.
- Punches that can’t get lost. Each punch is saved on the phone first, so it still counts with no signal; a shared tablet with name and PIN works when the wifi drops.
- Corrections with reasons. A manager who changes recorded time gives a reason the member is shown, and the member can dispute it.
- Every change on the record. Trades, approvals, edits to recorded time and changes to your rules are kept with who made them and when.
- Your data, where you want it. We can host Smalti for you, or you can run it on your own server and keep schedule and staff data on your own infrastructure. Connections are encrypted either way, and every person signs in with their own account.
Where Smalti fits — and where it doesn’t
Smalti is staff scheduling, shift trading, a time clock, checklists and team messaging for organizations of roughly 10 to 100 people. It schedules shifts at the locations you set up. If your home care week is built around individual client visits and travel between them, tell us how you schedule today and we’ll show you plainly how Smalti handles it.
Smalti is not a clinical record, care-planning, client billing or visit-verification system, and it doesn’t run payroll — it exports each pay period’s timesheets, with overtime worked out and your payroll IDs. If you have specific regulatory requirements, raise them with us before relying on Smalti for them.
Questions from clinics and care teams
Can Smalti stop someone picking up a shift they aren’t qualified for?
Yes. Each person carries the positions they’re cleared for and the locations they work at. Assigning, picking up and trading a shift all check those, along with whether the person is free at that time, and the reason is shown when someone isn’t eligible.
Does Smalti handle overnight shifts across a daylight-saving change?
Yes. Shift times are shown in the local time of the location, with the zone labelled, and an overnight shift across the autumn change really is an hour longer on both the schedule and the timesheet.
Is Smalti a care-management or clinical records system?
No. Smalti handles staff scheduling, shift trading, time and attendance, checklists and team messaging. Client records, care plans, billing and payroll stay in the systems you use for them.
Can we keep staff data on our own servers?
Yes. You can run Smalti on your own server and keep your schedule and staff data on your own infrastructure, or we can host it for you. Either way, connections are encrypted and every person signs in with their own account.
